Ecommerce Manager

As a member of the Swiss Madison E-Commerce team, you will work closely with our and internal and external stakeholders to oversee the brand direction and overall growth of our e-commerce presence. This role will require a high attention to detail across all Swiss Madison product categories.

 

Role Responsibilities:

  • Provide support and vison to the Swiss Madison content and e-commerce team.
  • Develop and maintain marketing campaigns for new and developing market segments.
  • Work with our account managers to run successful promotion and sales through our online channels.
  • Responsible for managing the marketing overall growth of the company through online channel.
  • Reporting on slow selling inventory and develop initiatives to generate sales.
  • Maintain relationship with existing e-commerce selling channels, while developing relationships with perspective e-commerce selling channels.

    Quality Assurance Supervisor

    As a member of the Swiss Madison supply chain, you will work closely with our Product Development, Data, Visual Design Content, and Customer Service teams, as well as external factories to maintain and ensure accurate detailed product specifications are documented and reviewed for internal consistency and for quality control purposes. You will become a product expert through understanding how and where our goods are produced.

     

    Role Responsibilities:

    • Hire and schedule 3rd party inspections
    • Analyze inspection reports provided by inspectors and suppliers
    • Review packaging requirements
    • Facilitate the creation of product manuals
    • Review and resolve open CS (customer service) cases
    • Act as a liaison for internal questions and feedback

     

    Required Qualifications:

    • Proficient in the use of computers, MS office, and computer related skills
    • Strong values and a commitment to a high standard in product and packaging quality, but with a business-minded approach to cost-benefit decisions
    • Experience creating SOP’s (Standard Operating Procedures)

    Customer Service Associate

    We are looking for an enthusiastic individual with excellent verbal and written communication skills, who can listen to customer service issues and then offer the best-fit solution to each problem. The ideal candidate for this role will develop a strong command of the company’s customer service policies and be well-trained in product knowledge that can be critical for offering quick and accurate assistance to customers.

     

    Role Responsibilities:

    • Answering incoming phone calls from customers relating to product related inquiries, shipment confirmations, product installation questions, as well as Order Entry assistance.
    • Assist customers through email and supplier channels.
    • Perform miscellaneous tasks/projects as directed by the manager.

          Supply Chain Supervisor

          Swiss Madison is looking for a Supply Chain Manager to develop and advance its Purchase Order Management practices. The SCM will be responsible for distributing Swiss Madison orders to 30+ overseas vendors. Furthermore, the SCM will oversee the execution of each PO as it relates to on-time delivery and pricing.

           

          Role Responsibilities:

          • Manages supplier relationships and negotiates pricing
          • Participate on supplier audits and meetings with QC and Product Development teams
          • Assists in identifying, evaluating, and recommending potential new suppliers
          • Initiates factory selection on reorder products
          • Monitor supplier production schedule reports and ensure all internal systems are updated accordingly with accurate quantities and delivery times
          • Contact suppliers to resolve price, quality, delivery, or invoice issues

          Accounts Payable Specialist

           

          Role Responsibilities:

          • Receive or retrieve, review, code, and enter all general and factory invoices in financial software system (currently QuickBooks) on a timely basis.
          • Download all Credit Card Statements monthly, and ensure that all charges, not already recorded through the normal AP process, are recorded, and reconcile all credit card statements to the General Ledger accounts.
          • Maintain files and records of invoices and payments in an orderly manner electronically in appropriate folders in the Accounting Server folder for future access/retrieval.
          • Open and sort all incoming mail for distribution to the appropriate department or staging for data entry.
          • Obtain all approvals of invoices as required,
          • Setup new vendors, contractors, and other service providers in Accounting System, including names, addresses, terms, default account codes, vendor contact information, and obtain W-9 Forms as required.
          • Prepare Checks, ACH and Wire Transfers for signature or authorization, and send email notifications of payments to all factories and other select vendors as directed.
          • Assist in monitoring our Factory Container tracking system to determine when factory invoices should be entered into the accounting system, when they are scheduled for payment, as well as documenting the date paid.
          • Assist with Vendor Analysis as directed by Accounting Manager or CFO, as requested.
          • Identify areas for improvement and offers suggestions to improve efficiency, effectiveness, and productivity.

           

          Required Qualifications:

          • Associate’s or Bachelor's Degree or equivalent experience.
          • 2+ years Accounts Payable experience required.
          • Experience using Accounting software systems.
          • Excellent Organization Skills and attention to detail

           

          Preferred Qualifications:

          • QuickBooks experience a plus

          Data Listing Specialist

           

          Role Responsibilities:

          • Entering and updating information into relevant online platforms
          • Coordinating with other departments to obtain product information as needed
          • Monitoring online platforms and databases to ensure accurate product listings are being maintained

          • Creating and maintaining spreadsheets

            Accounts Receivable Analyst

             

            Role Responsibilities:

            • Monitor all Retailer portals to identify and review all chargebacks and handle disputes.
            • Weekly monitoring of Accounts Receivable Aging Report to identify delays in payments so that issues are identified on a timely basis.
            • Review and track short payments to enable thorough and timely follow up to expedite resolution.
            • Follow up on chargeback and short-payment disputes to ensure timely resolutions.
            • Make collection efforts for payment of past due invoices, log all correspondence, and follow up as required.
            • Process all Proof of Delivery (POD) requests from e-commerce sellers.
            • Maintains organized records to support chargeback claim disputes.
            • Work with the warehouse management sales and inventory system to assist in the research of past due invoices.
            • Provide back support to Accounts Receivable Accountant during periods of time off.
            • Collaborate with other internal departments for support, when necessary.
            • Communicate with Accounting Manager of all issues that require escalation with internal or external parties as it relates to changes in procedures or assistance with timely and proper resolution of chargebacks, short-payments and past due accounts.
            • Perform other duties or special projects as needed.

             

            Required Qualifications:

            • Associate’s or Bachelor’s degree or equivalent experience
            • 2+ years Accounts Receivable experience required
            • Proficient Excel Skills
            • Experience using Accounting and Sales software systems, as well as Retailer Finance Portals

            Product Development Assistant

            As a member of the Swiss Madison Product Development and Supply Chain team, you will work closely with our Data, Customer Service teams, and external factories to bring in new product and update existing products. This role will require a high attention to detail across all Swiss Madison product categories.

             

            Role Responsibilities:

            • RFQ new products
            • RFI all requirements with each product category to ensure successful product launch
            • RFI any additional product details on a case-by-case basis
            • Analyze sales of previous SKUs to determine an expansion strategy

             

            Required Qualifications:

            • Fluent in Mandarin Chinese
            • Proficient in the use of computers, MS office, and computer related skills

              Product Development Manager (New Categories)

              As a member of the Swiss Madison Product Development and Supply Chain team, you will work closely with our Data, Customer Service teams, and external factories to bring in new categories. This role will require a high attention to detail across Swiss Madison product categories.

               

              Role Responsibilities:

              • Plays essential role in helping to identify new categories to onboard
              • Develop knowledge of market and industry standards within each category as it relates to price, raw material, and packaging
              • Lead the sourcing processes of RFQ/RFP for new categories
              • Conduct thorough analysis of qualified vendors to ensure best price and value is achieved
              • Utilize pricing tools to present final cost of goods for approval
              • Build and maintain relationships with overseas vendors
              • Collaborate with the content team to determine necessary setting shots and product copy
              • Review market feedback during early lifecycle of product launch to identify potential product changes or price savings
              • Liaison between CS, QC, and Supply Chain personnel to implement efficient tracking of all related hardware

                Warehouse Shipping & Receiving

                 

                Role Responsibilities:

                • Verifies and keeps records on incoming and outgoing shipments
                • Assembles and prepares orders for shipment.
                • Unpacks and examines incoming shipments, rejects damaged items, records shortages, and corresponds with shipper to rectify damages and shortages.
                • Examines outgoing shipments to ensure shipments meet requirements.
                • Maintains cleanliness throughout the warehouse and carries out facilities maintenance duties as needed.
                • Organizes warehouse and work area for orderliness.

                 

                Required Qualifications:

                • High school diploma or general education degree (GED)
                • Bilingual in Spanish
                • Three years or more related experience and/or training; or equivalent combination of education and experience.
                • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
                • Ability to write routine reports and correspondence.
                • Ability to perform general functions on a computer.
                • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.
